Best Business Practices: Going Green

admin : July 24, 2017 5:39 pm : Corporate

It may still be on the tail-end of summer but we’re still dreaming about green. The warmth of the outdoors, green grass, and frost-free windows is our biggest wish in these summer months.

No matter what industry you’re in, going green is a necessity and marks responsible, efficient business practices. So what steps should you take to ensure that you’re doing everything you can around the office? Better Office Systems is here to give you a few tips on the best Green business practices.

Reduce, Reuse, Recycle

Recycling is the biggest and greatest step you can take as a business, yet very few businesses have done so. Initiate a recycling plan for you and your employees and stick to it. It goes beyond just conserving paper, many parts and products can be sent to their manufacturer to be recycled. Make sure you utilize this great opportunity and do your part for environmental responsibility.

Print What You Need

Think before you print is a practice every office should use. It’s easy to simply press “Ctrl+p” without a second thought but urge your employees, as well as yourself, to really think about what they’re printing and how much. With innovations in technology, notes and research can largely be done digitally.

Dig Into Duplex

The unsung hero of the printing world is definitely double-sided printing. Cut your paper usage by 50% by switching your policy to double sided printing when applicable.

Color Your Print Processes Green

Innovations in technology and BYOD has made it easier than ever to stay connected and inform. Consider using your technology to replace notes or documents. Use an iPad, share things digitally, make the most out of what you have.

Choose Green Solutions

Always choose green office solutions. Machines that are Energy Star qualified and include duplexing capabilities are efficient and environmentally responsible. You can also take a closer look at your inks and paper, is it non-toxic inks? Soy or vegetable-based? Is the paper recycled? Remember; every little bit helps!

5 Reasons You Should Stick to Scanning

admin : June 16, 2017 2:28 pm : Better Office Systems, Blog, Document Management

Summer is here and the sun is high in the sky. Now is the time to rethink your document management and focus on the future.

One of the best things you can do for your business is to simplify your documents. Document management is an every day strife but thanks to scanning capabilities it doesn’t have to be. Digitize your records and take back your time, increase productivity, and save money.

Making Messes Manageable

Everything’s easier when you can find it. Digitizing your documents may be a slow process but imagine just being able to search your database with a keyword and finding everything that you’re looking for. Managing your document records digitally is not only smart, but it’s more conducive. Keep your business up-to-date and adapt with the technology, not against it.

Planning for the Unexpected

If your building caught on fire, would your documents be safe? Although they may physically be affected, scanning to the cloud will ensure that your documents survive digitally! Paper is incredibly vulnerable to natural disasters and theft, but digital documents are protected with safeguards that will lead to their longevity.

Actually Find What You’re Looking For

“Have you seen this file?” Questioning your coworkers is a thing of the past when it comes to efficient document management. Save your time, and your breath, with convenient indexing features when you scan. Not only is your digital copy right at your fingertips, it’s also east to find!

De-clutter and Recover

While you shift from physical to digital copies, the surface of your desk will slowly start to reveal itself. Imagine having the space for more; pictures, calendars, mugs–oh my! A digital hub of documents will slowly empty the office in the best of ways. More space means a better mindset for every work day. Show off your desk with a clean, minimalist look that will feel efficient and productive!

Go Green, Save Green!

Don’t let the daunting task keep your business from going digital. Many companies find themselves hesitant to go completely digital due to the sheer volume of documents. Don’t let yourself be scared into not taking the time. Over the course of the years, scanning your documents not only manages your digital files, but it also saves time and money in the long run. A shift towards a digital record will also help you save paper and push your office towards environmentally friendly practices.

Soulful Scanning

Diving Into Digital Print

admin : May 15, 2017 6:09 pm : Atlanta, Better Office Systems, Blog, Print

The print industry has gone through many changes throughout the years. After a recession and troubled times the print industry has bounced back and is doing better than ever. Focusing on sustainability and innovation has created a completely new area of expertise.

Printing has found its feet on the ground once more and has taken off running with digital print innovations. Despite the steady increase, some companies are still finding themselves hesitant to reinvest and take advantage of this growing industry.

If you haven’t already focused on the benefits that these services can offer you, your business, and clientele than you should reconsider. The print industry has widened its market with the strides in technology. No longer does printing mean documents for proposals and catalogs (though of course, that will always be a given). The options are endless and can extend to include binding, posters, promotional items, car decals, and even unique items such as coasters.

Outsourcing major and specialty printing has grown popular over the last few years due to lack of technology or knowledge.

Printers have also changed selling and communication techniques, creating more of a partner experience rather than the traditional “buyer and seller” method.

The print industry is moving forward in business, innovation, and sustainability as well. As we grow in population and the need to expand is great, we are all trying to do our part to find more sustainable resources and material. The print industry has taken enormous strides in creating recyclable and reusable products and have taken an active stance in sustainable responsibility.

Print is not dead; in fact, it’s the very opposite. Print is growing, creating more jobs, revenue, and success than many other large business sectors.

Be a part of this rising industry and customize the look and feel of your business.

Check out some of the ways print is growing!

Products That Matter

admin : March 9, 2017 4:51 pm : Blog, Go Green

sustainable products

The ultimate test of man’s conscience may be his willingness to sacrifice something today for future generations whose words of thanks will not be heard.”
Gaylord Nelson, founder of Earth Day

March 20th marks the official beginning of spring. Spring is synonymous with a new beginning, be it in season or spirit, personally or professionally. It is also a great time to do a little spring cleaning. Most people remember to give their homes a fresh sweep but they’ll forget their business.

Give your office breath of fresh air with products that products matter. It’s not what products you have, but how you use them. Sustainability is about more than just recycling. Check out these statistics from Forest Ethics.

Paper Consumption Statistics

  • The average American office worker is estimated to use a sheet of paper every 12 minutes—a ream per person every two and a half working weeks—and to dispose of 100-200 pounds of paper every year.
  • The number of pages consumed in U.S. offices is growing by about 20 percent each year.
  • The introduction of email into an organization resulted on average in a 40 percent increase in paper consumption.
  • A worldwide growth of 600 percent in printer accessibility between 1988 and 1993 is in part what contributes to this.
  • The U.S. is by far the world’s largest producer and consumer of paper.
  • U.S. paper consumption is over six times greater than the world average and about 25 percent greater than Japan, the world’s second largest per capita paper consumer.

So how can you help the environment without sacrificing your business?

Go Paperless

Tangibility may be the leading reason so many businesses use paper, but paper certainly needs a lot of space. Going digital is not the impossible feat that so many believe it to be, but it is a gradual process. Going digital just means that your office needs to put a process in place to make digitizing an easy process. Scan to the cloud or Google Drive to store your most important documents in one easy place.

Be Green in Atlanta

Office assessment, Managed Print Services, recycling and sustainable options; Better Office Systems really does it all. Ever day serves as a reminder that we only have one home and we should protect it. Sustainability and Going Green only requires some innovation, creative alternatives, and an open mind. Cut costs and become part of the solution, not part of the problem. Go Green and enjoy the quality you know, the workload you expect, and a lower carbon footprint.

5 Ways to Build Your Selling Skills

admin : January 17, 2017 5:58 pm : Better Office Systems, Blog

Selling is a cog in every business, every industry.

Dust off your training and learn some new tips and tricks to increase sales. Better Office Systems is laying the bricks so you can build a great year in sales.

Confidence is Key

The truth is, selling doesn’t come naturally to everyone. When you’re in the conference room and your palms begin to sweat, take a deep breath. Confidence is the key to selling, regardless of whether or not it’s genuine or feigned. People buy from who they like, who they believe knows what they’re doing. Be passionate about your product or service and your enthusiasm will catch on.

Know What You’re Selling

This sounds obvious, but you would be surprised to find out that not everyone knows what they’re talking about. When it comes to sales, most people assume they’ll just “wing it” but all it takes is a specific line of questioning for your pitch to unravel. When you claim to be the expert on a subject, make sure you are an expert, or at least pretty darn close to it.

Practice, Practice Practice!

Your sales pitch is a continuous conversation, but you should still know your lines! Practice your pitch in the mirror, on your way to work, or jot it down! Writing what you want to convey helps you find the words easier. Ask questions and let the customer discuss their needs, wants, and what the future of their business looks like.

Be Courteous

No one wants the “car salesman” pitch. Not to disparage car dealerships, but their selling tactic (at least in the past) was built on pushy sales techniques. This doesn’t go over that well today. Treat your customers how you would like to be treated; with honesty, respect, and understanding. Deciding to buy, especially expensive products or services, is already a stressful task. Don’t make it harder for your customer, make it easier.

Know your style and works best for you. Your personality is what gives you a unique advantage. Stay in tune with how you sell, how you would want to be sold to, and, of course, how your customer likes to be spoken to. Some people like reminders while others find follow-ups rude and unappealing. Know who you’re selling to and, above all, stay courteous.

Build to a Natural Conclusion

The issue with many sales pitches is it feels too much like a volley and less like a conversation. In the sales cycle, most people are just waiting for their turn to speak and not listening to what the customer is saying. Rise above that selling mentality and be the choice that clearly cares. Conversations are easier to gauge and usually have a clear marker when it’s time to ask the customer for their decision. Most customers prefer honest and direct leadership. There is no harm in simply asking.

Promoting Print Through Social Media

admin : December 19, 2016 10:18 pm : Blog, Print, Social Media

When most people think “Print,” Facebook doesn’t usually come to mind. While it’s not the most important aspect of your business, you should invest some time and energy into Facebook and various social media channels.

In recent years, social media has created a hub of opportunity for businesses in every industry. Yes, that includes print. You cannot beat the engagement opportunity, brand building, and the chance to show up right in their news feed.

Granted, this doesn’t happen instantly. Businesses need to focus on three core ideas; audience, engagement, and conversions.

Finding Your Audience

Social media is a great way to create warm prospects. Your social media activity should be geared towards making sure that you have a constant stream of potential new customers to contact. These people will be happy to talk to you. You’ll have a very different conversation compared to cold calling a prospect.

The first car of business on your social media train should be segmenting your personal life from your professional life. Your business page should be just that, your “Business Page.” Facebook offers a specific platform for businesses. Connect with your audience on this platform and enjoy additional features that allow you to build your business, create offers and promotions, answer questions, and gather reviews.

Engagement is Key

Social media is social. Make sure to respond to your customers, reply to comments and reviews. Facebook, in particular, is an incredible platform to engage directly to your customers. Use your platforms to build your brand, solidify your presence, and become the voice of authority for your industry and area.

Climbing Conversions

Here comes the most important part. Conversions is what turns users into customers. This can be tricky as you don’t want to appear to sales-y. Staying genuine is key. Facebook allows businesses to create ads with refined targeting. Facebook advertising garners great results; take advantage and invest some budget into online marketing. Choose a strong image, brief messaging, and a compelling call-to-action.

Social media can be as easy, fun, and successful as you make it. Use your social media responsibly and don’t forget its main goal; to connect, engage, and build your business. The best part of your business is the customer; don’t let them forget it.

5 Document Management Myths Debunked

admin : November 18, 2016 9:35 pm : Atlanta, Better Office Systems, Blog, Document Management

Document management is the next step towards complete control and ease in the office. Yet, so many businesses remain uninformed, clinging to false facts concerning what it means to go digital.

Better Office Systems is all about the future. We’re debunking common Document Management tips and sticking to the truth!

Myth #1: “I need an IT department and my business doesn’t have a team.”

Not necessarily! Going digital is a big undertaking, from top to bottom. What many businesses seem to forget, however, is that it is a gradual process. When you cut any big process into bite-sized chunks it becomes much more manageable.

Don’t jump off the deep end. From the first digital document to the last, continue to educate every member of your staff from the sales team to the HR department. You’re never alone; give our team a call if you find yourself at a loss. We are your IT department.

Myth #2: “I can trust paper more than digital processes.”

Tangibility goes a long way but the fact is, it takes up a lot of space. Many people are hesitant to go completely digital, but it’s not as scary as it sounds. Digitizing your documents simply means they’ll be more available and accessible to your team. Ctrl+F, the keyboard shortcut to find a document, will become your new best friend. Find the digital documents you need, and keep digital copies of what you must. Your business doesn’t need to entirely forego paper, just a small fraction.

Myth #3: “My business can’t just go paperless.”

Remember what we discussed in Myth #1. It’s all a process; it’s gradual. It feels like a large undertaking, because, frankly, it is. That, however, does not mean it’s not doable. Thousands of companies are making the digital shift to save cost, improve visibility, and stay current.

Myth #4: “It’s not practical!”

It is. It really is.

In fact, going digital is among the most practical things your business will do. Imagine not having to sift through box after box for that particular form that was signed two years ago. Save time, effort, and eventually, cost by scanning documents to the cloud now.

Going digital also means a more secure system for your business. In the event of a cyber or natural disaster, you can have the peace of mind, knowing that your most vital documents are safe and sound.

Myth #5: “We just went digital! Now my whole team will start using it!”

This sounds misleading, but it is a myth. We call it a myth because new processes need to be taught. It’s not just up to upper-management, every member of your team needs to know how to digitize a document and where to find them. Simply letting them “figure out” will only exacerbate things and halt the learning curve. When the team doesn’t know how to do it, documents never go digital. In fact, organizations typically find that less than 50% of their documents ever make it into the document management system.

Educate and incorporate.

The Future of Printing

admin : October 24, 2016 9:33 pm : Atlanta, Better Office Systems, Blog

bosbiz-october-blogThere is future in print.

That’s right! No tricks, just treats! Print is getting the makeover it’s needed for years, and we have technology to thank.

Better Office Solutions is watching the future very closely. Atlanta businesses can rest easy knowing that office solutions are propelling their services, and new technology is on the way. It’s hard to give your customers the support and service they need when, internally, you’re struggling with your own processes. Get peace of mind and take control of your office with print opportunities that are redefining print.

Remember, it’s not competition, it’s cooperation.

Innovations in the Industry

The latest print innovation is so small, you may miss it!

PocketScan is making a big impact in the secret corridors of the print industry. The latest innovations are not always on the front page, but this new, nifty device may change that. PocketScan is making scanners smaller, lighter, and – quite frankly – cooler!

Scanning sounds like an archaic process but the truth is that we all still use the function. The PocketScan is now giving businesses the opportunity to say goodbye to bulky single-unit scanners and say hello to your new best friend. This handheld scanner can be used on virtually any flat service. Simply slide the device across the page and text instantly turns into Microsoft Word documents, data in tables is easily converted into Excel spreadsheets, and it even translates foreign languages in real time. This is possible thanks to the patented real time image processing software powering the device and piecing together the digital renderings. As long as it’s flat, the PocketScan will capture it.

What’s better than scanning? Printing, of course. If you’re wishing, “Man, I wish they had a tiny printer,” we’ve got good news for you!

ZUtA Labs a start-up company from Israel, has followed PocketScan’s footsteps to create a miniature printer that, get this, you can fit in your pocket. The printer, which is 10.2 cm in diameter and weighs a measly 350g, allows you to print multiple pages on the go. It looks slightly like a Ouija planchette sliding across the page, but don’t be afraid it’s not powered by ghosts. Instead, this small printer runs with a single ink cartridge and prints at 1-1.2 pages a minute. It doesn’t operate at the speed of your HP or Ricoh, but it is a step in an exciting new direction for the print industry.

Companies have been scratching their heads, discussing practical ways to go paperless. The PocketScan and the ZUtA printer’s are innovations that inspire us that print doesn’t have to disappear entirely, it just needs to shift in its thinking.

Planning for the Future

Better Office System is inspired by the future. We believe that print will never truly disappear but it definitely will shift. It’s natural to adapt with the environment. We can’t wait to see where print will go next.

With our innovative solutions, your office can create an efficient and cost-effective management solution without sacrificing security or information. The team at BOSBiz is trained in technological and practical fields.
